Taxes & Service Charges

• Taxes and Gratuities: All food, beverage, room rentals, and bartender charges are subject to an 18% Gratuity, 2% Administration Fee, and 5% GST.

• Delayed Service Fee: A service charge of 10% will be added to food charges for any meals that are delayed by the client by more than 30 minutes.

• Staffed Buffet Surcharge: There is a charge of $45 per hour (minimum 2 hours) for all buffets where hotel staff are required to dish up food for guests as they proceed through the line.

• Head Table Plate Service: If head table plate service is desired for buffet-style functions, a charge of $8 per person at the head table will be applied.

• Under-Minimum Surcharge: A $3 per person surcharge will be applied to all functions with guest counts below the menu's specified minimums.

Guaranteed Guest Counts & Billing

• Deadlines: Final menu selections, room setup requirements, and special arrangements must be submitted to the Catering Office at least 4 weeks prior to your event.

• Final Guarantee: A guaranteed number of guests must be submitted no later than 6 working days prior to your event date.

• Groups Under 50 People: The minimum billing will be based on your final guaranteed number.

• Groups of 50 People and Over: The minimum billing will be 90% of your final guaranteed number.

• Booking Drops: The number of people charged for catering will be no less than 75% of the number originally reserved when the function was booked and the deposit was submitted. The hotel reserves the right to renegotiate charges if the guest count or guest room block drops below 25% of the original contract.

Deposit & Cancellation Policies

• Deposit Structures: All deposits are non-refundable and are structured by group size:

  • Functions over 100 people with catering: $1,000.00 deposit

  • Functions between 50 and 100 people with catering: $750.00 deposit

  • Functions under 50 people with catering: $500.00 deposit

• Cancellation Fees: If the group cancels the agreement, liquidated damages will be charged as a percentage of total projected food and beverage revenue:

  • 0 to 30 days prior to event: 75% of total revenue

  • 31 to 90 days prior to event: 50% of total revenue

• Payments: A credit card must be kept on file to secure the booking, and any remaining balances will be automatically charged immediately following your function. For wedding bookings, final payment of the total projected food and beverage charges is required no later than 5 working days prior to the function.

Bar Rules & Regulations

• Liquor Cutoff: In accordance with Alberta Liquor Control Board regulations, standard liquor service concludes at 1:30 AM, and all entertainment must cease by 2:00 AM.

• Marquis Room Exception: For events held in the Marquis Room, liquor service concludes at 1:00 AM, and entertainment must cease by 1:30 AM.

• Bartenders: Only designated hotel staff members may bartend bars on hotel premises. A bartender fee of $40/hour applies (minimum 4 hours plus 1 hour total for setup and take down). This fee is completely waived if bar sales exceed $1,000.

• Policy Deviations: Any deviations from the hotel's specified bar policies will result in a penalty charge of $15.00 per half hour.
